What’s the Difference Between Company Files and Project Files (and When Should You Use Each)?

If you’ve ever wondered whether to upload something into your Project Files or drop it into Company Files, you’re not alone. Knowing where your documents live—and who can see them—makes a big difference in how smoothly your team runs.

Here’s a quick breakdown to help you make the right call.


Project Files: For Job-Specific Work

If it’s tied to one job, put it in the project.

Think drawings, estimates, field photos, or anything that changes from one job to another. Everyone invited to the project can see these files (based on their role), so it’s the place to collaborate, annotate, and get the work done.

  • Site plans for Lot 24?

  • Markups from the walkthrough?

  • Notes from the client meeting?

Project Files are automatically organized within each job, so everything stays contained. No accidental cross-project sharing here.

Company Files: For Templates, Standards, and Internal Docs

If it’s something your team uses again and again, or you don’t want collaborators to see it yet, it probably belongs in Company Files.

This is your internal toolbox. Think of it like your team’s private file cabinet—only workspace members can access it.

  • Electrical scope template?

  • Homeowner Handoff cover letter?

  • Standard material sheet for your cabinets?

  • Master floor plan variations before they get job-specific?

Once you’re ready to use one of these in a specific project, just use “Copy To” to drop it in.

Ask yourself:

  • Is this specific to just one job? → Project Files

  • Will we reuse this or keep it internal? → Company Files
