When Should I Use a Public Share Link vs Inviting a User?

Digs gives you two ways to share information: Invite someone into the project, or create a Public Share Link / QR code.

The right choice depends on how much access and interaction you want that person to have.

Use a Public Share Link or QR Code When:

  • Someone only needs view access

  • The information is specific and limited

  • The person does not need to collaborate

  • You want fast, no-login access

  • The audience is temporary (e.g., trade on site, inspector, vendor)

Public links are ideal for:

  • Installation guides

  • Spec sheets

  • Approved plans

  • Mechanical room instructions

  • Field access to a single document set

Public links are simple and do not require a Digs account to access.

Invite a User When:

  • Someone needs to comment or collaborate

  • They should see ongoing updates

  • They need access to multiple project areas

  • They are part of your internal or long-term team

  • Security and tracking are important regarding their activity

Invited users can:

  • Create and respond to comments

  • View layered annotations

  • See only the projects they’re invited to

  • Access all allowed files in the Project folder structure

Invitations are best for:

  • Team members

  • Project managers

  • Warranty agents

  • Long-term partners

TLDR;

If someone needs to participate or utilize collaboration tools like Layers and annotations, invite them.

If someone just needs to see a specific document or collection of documents, share a link.
