Collaboration is key to success, and Digs makes it easy to bring your team together on any project. Whether you’re managing roles or helping new users onboard, here’s everything you need to know about inviting users to participate in a project.
How to Invite Users to a Project
Digs offers two convenient ways to invite users:
-
From Within the Project:
- Click the Invite Icon in the top-right corner of the screen.
- Add the email addresses of the people you want to invite.
- Assign roles (Manager, Editor, Collaborator) to each invitee.
- Optionally, include a personalized message.
- Click Send Invites to notify your team.
- Click the Invite Icon in the top-right corner of the screen.
-
From the Project Selection Screen:
- Locate the project’s Kabob Menu (three stacked dots).
- Click Invite to Project from the dropdown menu.
- Follow the same steps to add users, assign roles, and send invitations.
What Happens After Sending an Invitation?
-
Existing Digs Users:
- The project will also appear immediately in their Digs application, ready for access without further action.
- We will remind them regardless by sending an email notification about the project invite.
-
New to Digs?
- Invitees will receive an email prompting them to create a Digs account.
- Once registered, they’ll have direct access to the project and its data.
Understanding User Roles in Projects
-
Administrators:
- Full access to all projects by default.
- Visible in the Project Invite screen for escalation or assistance.
-
Managers:
- Can invite any user type (Managers, Editors, Collaborators).
- Hold the highest project permissions and manage significant changes.
- Adding additional Managers requires Pro Users to apply the role. We make adding Pro users easy and alert your Admins so there are no surprises.
-
Editors:
- Power users with more editing rights and the ability to invite Editors and Collaborators.
- Adding more Editors also requires Pro Users to a apply the role. Samas managers, Elevating users to Pro is easy and gains them access to the Editor role as well as other features like Company Files and Folders (DigsCloud).
-
Collaborators:
- Guests can Collaborate freely in the project
- Guests with limited editing rights and deletion permissions, ensuring project security.
- Can invite other Collaborators to support project evolution.
- Do not have access to Pro features. Example, restricted from accessing Company Files and Folders (DigsCloud) which may contain company sensitive information.
Pro Tips for Seamless Invitations
-
Quick Role Management: Unsure who to contact for permission changes? Check the Project Invite screen for Project Managers or Workspace Administrators. They’re always listed for easy reference.
-
Use the Kabob Menu: Don’t want to open a project first? Use the Kabob Menu in the Project Selection screen to send invites without navigating further.
-
Immediate Access for Existing Users: Great! You already have teammates in Digs! They’ll see the project in-app immediately after being invited, in addition to receiving an email notification.
-
Safeguard with Collaborator Roles: Use the Collaborator role for guests who need access but minimal permissions. This keeps your project secure from accidental changes.
-
Scale Effectively with Pro Users: Adding additional Managers or Editors? Make sure your Pro Users are involved. Make sure they understand all the benefits they gain by being elevated.
