Digs Toolbox: User Roles & Role-Based Permissions

User permissions in Digs are role-based and determine what a person can see and do across the platform. Roles, and their associated permissions, vary depending on whether someone has a paid or free account. This article covers the available roles, how to manage users, and best practices for keeping your projects secure:
Role Types
There are four user role types in Digs: Admin, Manager, Editor, and Collaborator.
Admins, Managers, and Editors are subscribed members — meaning they have a paid subscription with access to a Workspace and greater permissions than other user types.
Collaborators
Collaborators are free users. They're considered guests and can only interact with projects they've been invited to join — making this role ideal for external stakeholders like contractors or homeowners.
Collaborators can view, comment, and make edits within specific projects
Their ability to make significant changes is limited
There is no limit to the number of users who can be invited to a Project or Workspace.
Limited Collaborators
Digs has introduced a new Limited Collaborator role. This role shares the same permissions as Collaborators, with one key difference: Limited Collaborators can still create and participate in Comment snd Tasks - but for more private discussions, they are only included if they are tapped to join via an “@mention”. Likewise, assigning a Limited Collaborator a Task will bring it to their visibility. All other functions are shared between both versions of the Collaborator role.
Note: Only Admins, Project Managers, and Editors can elevate a user from Limited Collaborator to a higher permission.
When would we use this?
Example: Restricting information from Homeowners who are involved in the build process. In this scenario, not all comments are intended to be public, as they may be related to contracts or other details a homeowner doesn’t need to see. The Limited Collaborator role protects the team and ensures that at Handoff, these same comments are excluded from projects shared with the Homeowner.
Reviewing & Removing Users
Users can be added or removed at any time.
At the Workspace level (Admins only): Under Manage Workspace, Admins can:
View a current list of members and guests added to projects
View pending user invitations
Add new Members with paid subscriptions
Cancel pending invitations
Remove other Admins or Collaborators
At the Project level (Managers): Managers can invite or remove users from a project at any time.
Best Practices
Assign roles based on project needs:
Give Editor or Manager roles to trusted team members who need heavy collaboration and editing access.
Use the Collaborator role for anyone who only needs to view or comment, not modify files.
Monitor your Workspace and team regularly:
Managers and Admins should periodically review team members and their permissions to confirm everyone has the appropriate level of access.
Adjust roles as needed to prevent unauthorized changes and maintain security.
