Collaboration is key to a successful build, and Digs makes it easy to bring your team, vendors, and clients together in one place. Whether you're adding someone to your entire Workspace or just a single Project, you can assign roles and manage permissions to stay aligned every step of the way.

Workspace vs. Project: which one do I choose?

Before you invite anyone, it's worth knowing what each option actually does:

Workspace Invite

Project Invite

Who sees what

Only Administrators can see and access every project in the workspace. Regular workspace members still need to be invited to a specific project(s) before they can view or work in it.

The user only gets access to the project(s) you invite them to.

Best for

Your core internal team— users who should have a permanent seat in your company (e.g., office staff, ops).

Vendors, subcontractors, clients, or anyone who only needs visibility into a specific project(s).

Cost

Counts toward your paid Workspace seats.

Free if you're inviting a user as a Collaborator. Manager and Editor roles require a paid Pro User license.

If a user only needs access to a single project, invite them to that project as a Collaborator. Collaborators are free and can only access the project they've been invited to. If they need to be a Manager or Editor, they'll need a paid Pro User license, whether they're invited directly to a project or added as a Workspace member. Reserve Workspace invites for people who need access across multiple projects or the entire company. Those users require a paid Pro User license regardless of the project roles they take on later.

How do I invite someone to my Digs Workspace?

Inviting your team is simple! Just follow these steps:

  1. Click your user avatar in the top right corner.

  2. Select "Manage Workspace."

  3. Click the "Add Members" button.

  4. Enter the email address(es) of the team members you'd like to invite.

    • You can invite multiple people at once by separating email addresses with commas.

  5. Assign Role and Title

  6. (Optional) Add a personal welcome message for your invitees.

  7. Click “Send Invites”

Once added, workspace members can access company files. Administrators can see and manage every project in the workspace automatically. Regular workspace members do not automatically see or join projects— they still need to be invited to each individual project before they can view or contribute to it.

How do I invite someone to a specific Project instead?

If you only want someone added to a single project (not the whole workspace), use one of these options:

From Inside a Project

  1. Click the “Invite” button (top-right corner of the screen)

  2. Enter email addresses of the people you want to invite

  3. Assign role and title

  4. (Optional) Add a personalized message

  5. Click “Send Invites”

Option 2: From All Projects Page

  1. Click the Kabob menu (⋮) on the desired project

  2. Select "Invite to Project"

  3. Enter email addresses of the people you want to invite

  4. Assign role and title

  5. (Optional) Add a personalized message

  6. Click “Send Invites”

What Happens After You Send a Project Invite?

For Existing Digs Users

  • The project appears immediately in their Digs dashboard

  • They also receive an email notification to confirm access

For New Users

  • They'll receive an email to create a Digs account

  • Once they register, they'll be automatically added to the project

Setting up an invite on someone else's behalf? If you're helping a coworker or client accept an invite on a shared computer, make sure you're logged out of your own Digs account first. Accepting an invite while someone else's account is still signed in will add the project to your account instead of theirs.

Understanding User Roles

(Applies to both Workspace and Project invites)

Role Permissions & Access

Administrator

Access to all projects. Assigned only from the Workspace level— not from a Project invite. Shown on the invite screen so people know who to contact about permissions or access.

Manager

Full project access. Can invite all user types. Requires a Pro User license.

Editor

Can edit project content and invite Editors or Collaborators. Requires a Pro User license.

Collaborator

Can comment, complete tasks, and invite other Collaborators. Cannot access DigsCloud or Company Files. Ideal for guests or external contributors.

Can I remove or manage team members later?

Yes! Under Manage Workspace, you'll see a list of current members and guests you've invited to projects. From there, you can manage their access or remove them if needed.

Is there a maximum number of members I can invite?

There is no maximum!

Pro Tips for Smooth Onboarding

Not sure whether to invite to the Workspace or a Project? If in doubt, invite to the Project as a Collaborator— it's free and can be changed later if the person ends up needing a workspace seat or a higher-access role.

Check for Admins & Managers: Not sure who can adjust permissions? The Project Invite screen lists them for easy contact.

Use the Kabob Menu (⋮): Send invites without opening a project— perfect for quick setup.

Existing Users Have Instant Access: If the person you invited already has a Digs account, they'll see the project in their own dashboard right away.

Use Collaborator for Guests: Great for clients or subcontractors who need access to comment and complete tasks, without editing project content.

On a shared computer? Log out of your own account before someone else accepts an invite, so it lands on their account instead of yours.
